P2S Inc. Wardlow Park company picnic 2023

Photo and Video Coverage

P2S Inc. brought employees together at Wardlow Park in Long Beach for an outdoor company picnic featuring food, team games, recreational activities, and a friendly softball game.

Pro Video Foto provided both photography and video coverage for the event. Because activities were spread across the park, our coverage plan focused on documenting the complete experience—from the setup and welcoming environment to the fastest moments on the softball field.

Building a Visual Story From the Start

Good company picnic coverage begins before the activities become busy.

We first photographed the decorated tables, shaded dining areas, vendor stations, game setups, company signage, and wide views of the park. These establishing photographs showed how the space was prepared and gave the final gallery a clear sense of location.

Once employees began participating, our attention shifted toward candid interactions, team activities, and action photography.

This approach created a natural progression:

  1. The event setup and location
  2. Employees arriving and gathering
  3. Food, games, and social activities
  4. Softball and team competition
  5. Candid reactions and group moments
  6. A recap of the overall experience

Capturing Team-Building Activities

Company picnics give employees the chance to interact in ways that are different from the normal work environment. For this event, games and sports became an important part of that experience.

Our team photographed employees playing table games, competing in outdoor activities, talking with coworkers, and participating in the softball game.

These moments helped show teamwork, personality, and company culture without requiring every photograph to be staged.

The coverage included:

  • Employees participating in picnic games
  • Candid conversations between coworkers
  • Wide views of the picnic setup
  • Company-branded activity stations
  • Food and hospitality areas
  • Softball pitching, batting, running, and fielding
  • Reactions from players and spectators
  • Group photographs and event details

Photographing Fast-Moving Sports Action

The softball game required a different approach from the picnic portion of the event.

Instead of waiting for players to pose, we anticipated where the action would happen. We photographed pitchers during their delivery, batters making contact, runners moving between bases, fielding plays, and reactions after each moment.

Using a combination of wide photographs and tighter action shots allowed us to show both the game and the people participating in it.

This type of sports coverage is especially valuable for company field days because it captures employees actively working together while giving the final gallery more movement and variety.

Adding Movement Through Video

Photography preserved individual moments, while video showed how the activities unfolded.

Our video coverage included the picnic environment, game stations, employee interactions, company branding, and softball action. We captured wide establishing footage alongside closer shots of hands, expressions, movement, and reactions.

These clips were brought together to create a recap that reflected the relaxed atmosphere and competitive energy of the day.

With photography and videography handled by the same team, the client received coordinated coverage without needing to manage separate vendors.

Useful Content Beyond the Event

A company picnic may last only one day, but the content can continue supporting the organization afterward.

Photos and videos from an employee event can be used for:

  • Internal newsletters
  • Company culture and recruiting pages
  • LinkedIn and social media content
  • Employee-recognition posts
  • Future picnic announcements
  • Human resources communications
  • Company presentations
  • Anniversary and year-end recaps

Capturing a mixture of people, activities, branding, and environmental details gives the company more options when reusing the content.

Why Coverage Planning Matters

At an event with several activities, a photographer or camera operator who remains in one area can easily miss important moments.

Our team moved between the dining area, activity stations, open spaces, and softball field throughout the day. This allowed us to create a balanced gallery instead of returning hundreds of similar photographs from a single part of the event.

Before covering a company picnic, it helps to identify:

  • The event’s major scheduled activities
  • Which games will happen simultaneously
  • Important executives, organizers, or groups
  • Locations where branding will be displayed
  • Any awards, announcements, or team photographs
  • The intended use of the final photos and video

Knowing these details helps us build the coverage around what will be most useful to the client.
